Open enrollment will be automatically unlocked for employees based on the Window Open Date on the OE record. To learn more about how the system automatically triggers Open Enrollment enrollment window for employees, view the Open Enrollment guides.
To unlock all other types of enrollment windows, you need to manually unlock enrollment. Unlocking an enrollment window will automatically send a system generated email to the employee based on the enrollment type selected. They will also be provided a link to register for the portal if they have not yet done so.
New Hire
To unlock a New Hire Enrollment window for an employee, the Admins can go to the employee’s record, and under benefits section, select Unlock Enrollment. Now, select enrollment type as New Hire. Provide any additional details (optional) and then select Unlock. This action will unlock a New Hire enrollment window for this employee.
NOTE: Once an employee completes enrollment, elections will stay pending for 3 days to allow for any election changes. After 3 days, the system will automatically close the enrollment window and approve all elections.
Employees who do not log in or complete enrollment will not be enrolled in any benefits and the enrollment window will automatically close after 30 days.
Newly Eligible
To unlock a Newly Eligible Enrollment window for an employee, select Enrollment type as Newly Eligible. Provide the Profile change effective date to calculate the waiting period based on effective date and then submit this action by selecting Unlock Enrollment.
Note: Once employees complete enrollment, elections will be pending for 3 days to allow for any changes to elections. After 3 days, the system will automatically close the enrollment window and approve all elections.
Employees who do not log in or complete enrollment will not be enrolled in any benefits and the enrollment window will automatically close after 30 days.
Qualifying Life Event (QLE)
To unlock a QLE enrollment:
- Select Enrollment Type as Qualified Life Event.
- Select appropriate QLE Reason from the dropdown list.
- Provide QLE effective date, then select Unlock Enrollment.
NOTE: Once employees complete enrollment, elections will stay pending for 3 days to allow for any election changes. After 3 days, the system will automatically close the enrollment window and approve all elections.
Employees who do not log in or complete enrollment will not be enrolled in any benefit changes and the enrollment window will automatically close after 30 days.
Employee Enrollment Process: Employee View
This section is documented from the employee’s point of view. This section serves as Employee Account User Guide. Employee’s enrollment experience and process remains generally the same for Open Enrollment, New Hire, Newly Eligible and QLE type of enrollments.
If an employee does not have any type of enrollment window open, employee can still log into their account and review their benefits summary.
If an employee has an enrollment window open in system, employees can then view and elect their benefits from the account.
Notes for Admin Users
- If there is an open enrollment window setup and active, the system will automatically unlock OE window for employees on the OE window open date. No additional action is required by the Broker or HR admin to initiate OE for employees.
- To open a New Hire, Newly Eligible and QLE window for an employee, the HR Admin User needs to manually open that window for that employee.
- If an employee has more than one enrollment type of window open at the same time, they can complete new enrollment as a new hire or Open Enrollment in whatever order they like.
